Endorsement of Grant Applications

In addition to fulfilling the signature requirements of the external funding agency, faculty must also fulfill the signature requirements of the University which requires that all proposals for external funding for research and other projects must be signed in the following order by:

1, Principal Applicant (and Co-Applicants if any)
2, UBC Department Head (or Director of a School or Institute)
3, Faculty Dean (or designate - in Education this is the Associate Dean, Graduate Programs & Research)
4, Director of UBC Office of Research Services on behalf of the President of UBC

Please note that in the event the grant application form does not have a designated space for signatures, grant applicants may download a blank signature template from the Office of Research Services (ORS) web site.

The Associate Dean in the Office of Graduate Programs and Research (OGPR) is designated to sign grant applications on behalf of the Dean. This policy applies to all applications, except ones submitted through the School of Human Kinetics (HKIN). These applications are endorsed by the Director of HKIN.

The signature of Associate Dean in OGPR affirms that:

  • The applicant has an appropriate academic appointment with their unit covering the period of the proposed grant or contract.
  • The applicant has appropriate space available to do the research.
  • The Head/Dean will take responsibility for resolving any over-expenditures.
  • The Head/Dean will fulfill their obligations to the funding agency.
  • The Head/Dean will ensure that Research Services is notified if there is a change in status of the awardee.
  • The Head/Dean has verified adherence to Policy #97 conflict of interest guidelines with respect to honoraria.
  • Any internal Departmental/Faculty requirements have been met.

In addition to affirming the above, the Associate Dean and the Research Development and Grants Facilitator in the OGPR provide constructive, developmental and supportive reviews of research proposal, the budget and its justification. Therefore, the Associate Dean does not provide an “on-the-spot” signature service. Applications to major granting agencies must be submitted three working days in advance of the funding agency application deadline to facilitate this process In the absence of the Associate Dean in OGPR, the Associate Dean in the Dean's Office is authorized to sign grant applications.
