In-kind/ Rental Estimate for Research Space

Faculty who need to estimate the cost of in-kind space support for research projects or who need to estimate the cost of leasing research space off campus, may use the following formula provided by UBC Facilities and Capital Planning Office (November 2006).

Usable space (sq. ft.) X 20% (to account for washrooms/utility space) X $32/sq. foot

For example, if you needed 500 square feet of usable office space:
500 sq. ft. X 20% = 600 sq. ft.
600 sq. ft. X $32/sq. ft. = $19,200 / year.

Mileage and per diem:

Effective March 18, 2008 there are revisions to UBC Policy #83, Travel and Related Expenses for the reimbursement rate for the use of private vehicles and per diems while on UBC business.

UBC Policy #83 – Procedures

3.4 Private Automobile

Effective March 18, 2008 the reimbursement rate for the use of private vehicles when travelling on UBC business has been increased 1 cent from $0.40 per kilometre to $0.41 per kilometre. This change reflects the increased cost of operating vehicles today.

This UBC program reimburses the driver only (excluding the vehicle owner, passengers etc.), by applying the kilometre rate to the actual driving distance, by the most direct route. The reimbursement is intended to cover all costs associated with utilizing personal vehicles for business use including fuel, maintenance, insurance and depreciation.
